1. Accepted Documents
Workers may upload supported image or PDF documents that are relevant to work, training, safety, registration, apprenticeship, certification, licensing, education, or recognized equivalency. The upload control identifies the file types and size limits currently supported.
Documents must be readable, belong to the worker or be lawfully provided for the worker's account, and must not include unrelated personal information where a less sensitive document is sufficient.
2. OCR Processing
OnBoard may use optical character recognition to read text from an uploaded document. OCR can suggest fields and detect possible differences, but it can misread names, numbers, dates, trades, issuers, or jurisdictions. OCR confidence measures extraction confidence only.
3. AI Extraction
AI-assisted extraction may organize document information and suggest a credential type or metadata. Workers should review and correct extracted details. AI extraction does not authenticate a document.
4. Organization Credential Checks
OnBoard does not perform routine source verification of uploaded trade credentials. Hiring organizations must check any credentials and authorization relevant to a job before assigning work.
5. Upload Status
An Uploaded badge confirms that a worker supplied a document. Credential names, issuers, dates, and expiry information are worker-reported and may be inaccurate. No upload badge represents official certification or legal work authorization.
6. False Documents
Uploading an altered, forged, stolen, fabricated, or misleading document is prohibited. OnBoard may preserve relevant audit records, reject or revoke the credential, restrict the account, notify affected users where appropriate, and make a lawful report when required or reasonably necessary to address fraud or safety risk.
7. Expired Certifications
Expiry dates are displayed when known. A reported expired credential does not satisfy an application document requirement. Workers are responsible for providing renewed evidence. A prior verification record may remain in history for audit and transparency purposes.
8. Government IDs
Do not upload a government identity document unless a supported OnBoard verification flow clearly requests it and explains the purpose. Government identifiers must not be placed in public profile fields, messages, job posts, or ordinary credential descriptions. OnBoard does not use a government ID as a public credential badge.
9. Privacy
Credential documents, OCR output, verification evidence, exact credential identifiers, private notes, and tokens are private. Organizations receive only the worker-reported qualification summary permitted for the hiring workflow. They should request evidence and confirm it with the appropriate authority when hiring. Access is limited according to role, authorization, consent, and product policy.
10. Appeals
Workers may correct credential details or replace an uploaded document. Questions about account restrictions or inaccurate information can be sent through Settings > Contact Us / FAQ.
11. Removal
Workers may delete or remove a credential where the current workflow and retention rules permit it. OnBoard may remove files that are unlawful, unsafe, unrelated, malicious, fraudulent, or submitted without authority. Limited metadata or audit history may be retained where reasonably necessary for security, fraud prevention, disputes, legal compliance, or audit integrity.
Policy updates
These policies may be updated from time to time. Continued use of OnBoard after changes become effective constitutes acceptance of the revised policies, where permitted by law.
